Smart inventory management with QuickBooks and Slack

Not so long ago, we used to dread the word “Inventory.” Which only meant one thing: lots and lots of counting. Reconciling inventory and effective inventory management for businesses is a cumbersome task if not implemented correctly.

Lots of our customers use QuickBooks to manage their finances and thus use its Inventory management module to manage their inventory, which is sufficient up to a certain extent. But when QuickBooks is used in conjunction with other business applications like Salesforce, Microsoft CRM, Shopify, and team apps like Slack, it has to be smart enough to keep all these systems updated with the inventory changes.

As DBSync, we make this possible by making all these systems talk. With DBSync iPaaS, we make sure that all systems get the updates when inventory fluctuates. That can be achieved either by sending email notifications on crucial changes or group messages over Slack.

One of the best use cases we have implemented is with Slack. Let’s take a business, which uses Shopify as their retail store with a typical QuickBooks desktop application to manage inventory and a Slack for their interdepartmental communications.

DBSync helped these applications to share data at the most granular level by integrating all these applications overcloud.

  1. When an order comes into Shopify from the retail store, DBSync pushes that order to QuickBooks for fulfillment within 10 mins after receiving it.
  2. QuickBooks does the fulfillment based on the current inventory on-hand, and the order gets shipped out from the physical warehouse location.
  3. DBSync then pushes the reduced inventory updates to Shopify to update the Retail store on-hand stock.
  4. Now, with each integration, DBSync also notifies all the departments with Slack notifications along with Order details, Current inventory on-hand, and product sold. (Shown below).

High availability, scalability are a few key capabilities that made DBSync an integral part of this business. Many other aggregated processes can be smartly managed using DBSync, such as:

  • Dead Stock and Safety Stock notifications.
  • Product Purchase Forecasting can be done using DBSync by analyzing QuickBooks Sales data and correlating it with stock movement over a specified period.
  • The real-time inventory replenishment and movement status can be synchronized with all enterprise applications along with WMS’s used at offshore warehouses to determine product availability and thus reduce the shipment time and shipment cost by always notifying the offshore divisions over Slack.
